H&H processes a range of personal data relating to employees, customers and potential customers, suppliers, job applicants, business contacts or other individuals who have contacted us via our website or by other means.

The following sets out how H&H, in its role as a data controller or data processor, processes your personal data and which rights you have in accordance with data protection legislation. Employees should refer to the ‘Internal Privacy Policy’.

It is important for us that any personal data gathered about you is stored and processed securely. We therefore process your personal data in accordance with data protection legislation. We also adhere to the industry association PRECIS’ ‘Guidance for the implementation of GDPR’.

Which personal data do we process and why? 

Personal data refers to all types of information that directly or indirectly belong to a natural person who is alive. Examples of such information includes names, contact details, photos, personal identification numbers, IP addresses, the contents of emails and other communications.

We process personal data in order to fulfil our obligations in accordance with agreements, e.g. with customers and suppliers.

Furthermore, we process personal data in order to fulfil our legal obligations, e.g. in relation to the Accounting Act, the Archives Act and the Discrimination Act.

Some personal data is processed on the balance of interest or with consent, e.g. in relation to the recruitment of staff, when we market ourselves (e.g. newsletters, seminars and other events) or when developing our services (e.g. surveys, questionnaires).

If we were to process your personal data for any purpose which, according to data protection legislation, requires your consent, we will obtain your consent in advance.

To whom do we disclose your personal data?

H&H will never sell your personal data to any third party.

However, your personal data may be disclosed to external parties with whom we collaborate in order to run our business. Examples of this include system providers in IT, finance, salary, recruitment and CRM, as well as other service providers in events and marketing.

We may also disclose data when there is a statutory requirement to do so.

In those cases where we disclose personal data to third parties, we will create a personal data processing agreement that ensures that personal data are processed in a secure manner and that this occurs in accordance with personal data protection legislation.

How do we protect your personal data?

Your privacy is important to us, which is why security is a key area of focus for us. We will take steps to protect your details in accordance with data protection legislation and established information security guidelines. This means that we have procedures and rules relating to data protection, e.g. that we send your details in a secure manner and ensure that our employees only have access to those details they need to carry out their duties.

How long do we retain your personal data?

Personal data is only retained for as long as is required to fulfil the purpose of processing, or for as long as we are obliged to retain it by law or in accordance with other rules.

Your rights

H&H is the personal data controller, which means the company is responsible for how your personal data is processed and ensuring that your rights are safeguarded. Personal data protection legislation describes your rights in the following terms:

  • The right to obtain information about how your personal data is processed.
  • The right to request that your personal data is corrected. You also have the right to supplement your data with relevant personal details that are missing in relation to the purpose of processing.
  • The right to have details deleted. However, there are exceptions to this. For example, we may retain your personal data for legal reasons.
  • The right to limit processing, which means that you can demand that processing of your personal data is limited, for example if you dispute the accuracy of the data.
  • The right to object to the personal data controller’s processing of personal data.
  • The right to data portability, which means that in certain cases you may ask us to return your data to you or permit the data to be transferred to another company. This only applies to personal data that you have given to us yourself as an employee.
  • The right not to be subject to automated decision making. However, these are exceptions to this. For example, in cases where legislation permits it.
